Why Rest Days Should Be Included in Roster Uploads
When a roster is uploaded for sleep planning or fatigue-risk review, blank days can look like missing data. Date-only rest-day rows make recovery periods clearer and help the report explain what is happening between shifts.
Many roster exports only show worked shifts. If someone is not rostered on a particular date, the export may simply skip that day. That can be fine for payroll or timesheet purposes, but it is less helpful when the goal is to understand fatigue risk, recovery opportunity, or sleep planning.
For fatigue review, the gap between shifts matters. A day off is not just an absence of work. It is part of the recovery story.
Missing dates can hide useful context
If a worker finishes a night shift on Monday morning and the next rostered row is Thursday afternoon, there may be several recovery days in between. A system can often infer that there is a longer gap, but the report may not be able to clearly show how those days should be treated.
By adding date-only rest-day rows, the roster makes the pattern easier to read. Managers can see where rest days occur, and workers can see that those days are intentionally treated as recovery or normal rest pattern days.
What a date-only rest day looks like
In a roster upload, a useful rest-day row usually contains the date and worker details, with the start and finish time left blank.
For example:
- Date: 2026-08-14
- Employee: Alex Taylor
- Crew/Site/Role: included as usual
- Start: blank
- Finish: blank
This tells the report that the day exists in the roster, but there is no worked shift on that date.
Why rest-day rows help fatigue-risk reports
Including rest days can make reports clearer in several ways:
- Recovery after nights: the report can show that a rest day follows the night shift, rather than treating the roster as an immediate flip to another pattern.
- Worker sleep guidance: individual planners can avoid unnecessary nap advice when rest days are available.
- Manager review: rest-day spacing becomes easier to see alongside short turnarounds and warning gaps.
- Audit readability: the report can explain normal rest days rather than leaving gaps that look unexplained.
It also reduces confusion when testing uploads
When users build sample files or drag dates in a spreadsheet, missing or inconsistent dates can create confusion. A clear date-only rest-day row is easier to validate because the date is visible and the blank times are intentional.
This is especially useful when a company wants a report pack that can be understood by managers, safety teams, and workers who may not be looking at the original spreadsheet.

If your roster has days off, include them where possible. Use the date, worker details, and normal grouping fields, then leave start and finish times blank.
